For accounting firms replacing Botkeeper

Botkeeper closed in February 2026

A Botkeeper alternative for firms left mid-close.

You do not need another long migration or a black-box service. Keep QuickBooks Online as your ledger, bring your existing close process, and put your accountants back in control of every posting.

A closure, not a failure on your firm’s part.

Botkeeper announced it was going out of business over the weekend of February 7–8, 2026. Its founder cited a combination of macroeconomic shifts and industry consolidation. If your workflows were built around the product, the disruption is real. This page is about getting the work moving again—not taking shots at the team that built it.

What we know

The shutdown and the company’s stated explanation were reported by CFO Brew on February 17, 2026.

What we will not pretend

CoController is software for firms that want to run their own close. It is not a replacement outsourced bookkeeping team.

Keep the work close to the ledger.

The Chrome extension works inside QuickBooks Online, while the Close Center gives the firm one place to run month-end. The accountant stays responsible for the judgment calls.

01

AI categorization that learns your books

Suggestions use each client’s own categorized history. Confidence is shown, and learned does not mean certain.

02

One close checklist across clients

See the work for each client and period in one place, with the blockers visible before review starts.

03

Fixed assets, prepaids, and leases

Build depreciation, amortization, and lease schedules without maintaining a separate workbook for every client.

04

Approval-based journal entries

Review the account mapping, date, memo, and debit/credit lines before anything is posted to QuickBooks.

05

Full audit log

Suggestions, approvals, postings, and close activity leave a record for review instead of disappearing into a chat or spreadsheet.

06

Your team remains the accountant

CoController speeds up the repetitive work. Your firm owns the client relationship, policy decisions, and final sign-off.

Free white-glove migration

The founder will help move your close process.

We will review how your firm handled categorization, schedules, review, and sign-off in Botkeeper, then help map that process into CoController. There is no migration fee.

  1. Walk through the close process your team used.
  2. Map client stages, schedules, and approval points.
  3. Set up the first client together before expanding.

The practical questions first.

What happens to my data?
You decide what to bring into CoController. When you connect QuickBooks, CoController reads only the data needed for the features you use. It does not sell your data or train shared models on a client’s books. Disconnecting QuickBooks deletes the stored OAuth tokens and stops access; you can also request deletion of workspace data by email.
Do I need to leave QuickBooks Online?
No. QuickBooks Online remains the system of record. The Chrome extension works inside QBO, and the Close Center organizes the review, schedules, and sign-off around it.
How long does migration take?
That depends on your client count, the workflows you need to preserve, and what you can export. We will scope the move with you before promising a date, then set up the first client together so your team can validate the process before expanding.
Will journal entries post automatically?
No. You see a preview of every journal entry and must explicitly confirm it. CoController validates the mapped accounts and records the posting in the audit log.
Is this managed bookkeeping?
No. CoController is close software for accounting firms, bookkeepers, and fractional controllers. Your team continues to make the accounting decisions and serve the client.
